Event Photography Checklist for Event Planners


A successful event photography plan begins well before guests arrive. Event planners should confirm the event date, venue, coverage hours, photography budget, delivery deadline, and intended use of the images. The photographer should receive a detailed event schedule, venue layout, parking and access instructions, dress code, lighting restrictions, and the names of key contacts and important guests. Planners should also prepare a shot list covering venue details, decorations, sponsor branding, guest arrivals, candid interactions, speakers, presentations, awards, group portraits, entertainment, and any signature moments. If certain guests should or should not be photographed, that information must be communicated in advance, along with any required media releases or venue permissions.


On the event day, planners should provide the photographer with access to the venue before guests arrive, notify staff and security of the photographer’s role, and communicate any last-minute schedule changes. It is also important to confirm where group photographs will take place, when key participants will be available, and how final images will be delivered.
